Who are we?

ManpowerGroup Netherlands B.V. and/or its subsidiaries (ManpowerGroup Staff BV, Manpower BV, Manpower Logistics BV, Manpower Talent BV, Manpower Business Services BV, Manpower Flexibility BV, Manpower Flexwork BV, Manpower Talentworkers BV, Manpower Business Professionals BV, Experis Professionals BV, Experis Services BV, Experis Consulting BV, Experis Staff BV), (hereinafter also referred to as “we”), with registered office at Diemerhof 16, Diemen. We are responsible for processing your data.

What can you expect from us?

We take your privacy seriously. We therefore place great importance on handling the data of our candidates, temporary staff, clients, employees, suppliers and website visitors with care and security. We do this in accordance with privacy laws and regulations, including the General Data Protection Regulation.

We never sell your data to third parties. However, we do use the services of other parties who process data on our behalf. We enter into data processing agreements with these parties to ensure that they, too, handle your personal data with care. After all, we remain responsible for protecting your data.

In addition, we share data with other parties where we are required to do so by law or regulation, or on the basis of a contractual provision. For example, with the tax authorities or another government body. It may also be necessary to share your data with other parties as part of the services we provide. For example, when we introduce you to a client.

If we transfer personal data to organisations in countries outside the European Economic Area, such as our US parent company and affiliated ManpowerGroup companies, we ensure that appropriate safeguards are in place to protect your data. We do not retain your data for longer than is strictly necessary for the purpose for which it was collected.

When do we process your personal data?

We process your data from the moment you:

  • visits one of our websites;
  • you register for an event;
  • enter your details on our website, for example by creating an account;
  • you register at one of our branches;
  • uses our services.


We may process data about you that we have not obtained directly from you. Even in such cases, we will only process this data for a pre-determined and legitimate purpose.

What do we do with your data?

That depends on how we know you. If you visit our website, we process different data than if you work for us. We have taken this into account in the overview below. It is therefore possible that several categories apply to you. We also explain how we handle your data in specific situations, for example when you attend an event.

For certain types of data processing, we will ask for your consent in advance. If you do not give your consent and/or object to this processing, this may affect the services we provide to you.

  • To ensure our IT systems function properly and to protect them, we process data such as IP addresses and user details. We retain this data for six months.

Rapportages en audits

  • We use analyses and reports to continuously improve our services and business operations. We avoid using personal data as much as possible, but on occasion we are obliged to use a limited amount of data. Where possible, we aggregate this data and anonymise it so that you cannot be identified. Relevant reports are shared with our US parent company and affiliated ManpowerGroup companies and, as a result, are also processed outside the EEA.
  • In order to carry out internal and external audits, such as those conducted by our auditors or the tax authorities, we may process the necessary data relating to clients, suppliers or other business contacts. In the event of an external audit, the parties involved will have access to your personal data.

General

  • To ensure our IT systems function properly and to protect them, we process data such as IP addresses and user details. We retain this data for six months.
  • The use of personal data may be necessary for legal purposes.


With regard to legal files, it is important to be able to continue to use and retain relevant personal data where appropriate.

I'm looking for work

As soon as you provide your details on our website, register at one of our branches or seek our assistance in finding a job through any other means, we will process the following data:

Registration

  • Once you have registered, we will continue to use this information for a further four weeks or, if you give your consent, for a further year, to help you find a suitable job. We will share relevant information with (potential) clients.

Registration

  • When you apply for a job or create an account on our website, we create a profile for you. This profile stores all the relevant details for your application, such as your knowledge and skills. This enables us to assess your application. We retain this data until the process has been completed. After that, if you give your consent, we will continue to use this data for a further year to help you find a suitable job.
  • As part of the application process, we will contact the referees you have provided. With your consent, we will retain the data from the application process for up to one year after the application process has been completed.
  • To provide you with an even better user experience and to tailor our services more effectively to your needs, we use your personal data with your consent. We do this using cookies and similar technologies. You can find out more about this in our cookie policy.

General

  • To help us learn and make improvements, we ask you to complete internal surveys. We may also ask you to provide your name and contact details so that we can follow up on the results and, if necessary, keep you informed.

I work through Manpower

In the overview below, we explain how we use your data. Where we share data with other parties, we refer you to the privacy policies of those parties. Please note that our occupational health and safety service or insurer may apply a different statutory retention period.

Communication

  • In order to maintain our employment relationship, keep you informed about your career development opportunities and comply with other legal obligations, we process your personal data where necessary.

Employment contract and salary

  • As you work for us, we will create a personnel file, which will include, for example, a copy of your passport. We do this in order to fulfil our contractual obligations to you. Where we are legally required to do so, we will share this information with government agencies and administrative bodies. We adhere to a statutory retention period of 5 years following the end of your employment.
  • As you work for us, we are contractually obliged to insure you. We share your personal data with our insurance company or companies. We adhere to a statutory retention period of 7 years following the end of your employment.
  • In order to manage your pension, we are contractually obliged to share your personal data with our pension administrator. We adhere to a statutory retention period of 7 years following the end of your employment.
  • If we apply for a work permit on your behalf so that you can work in the Netherlands, we will share your personal data with government agencies and administrative bodies. We apply a statutory retention period of 7 years following the end of your employment.
  • We use your personal data to apply for and account for grants and wage cost subsidies. We share this data with grant providers and, where necessary, third parties who assist us in arranging the grant. We retain the data for 7 years. If special categories of personal data are required for the application, we may only use them with your consent. Sensitive personal data includes data relating to religion or beliefs, race, political opinions, health, sexual life, trade union membership and criminal history.
  • If you report yourself as unwell, we will pass this on to our occupational health and safety service. We store the minimum data necessary to keep in touch with you, the agreements made, whether there has been an accident at work or a road traffic accident with a right of recourse, and information about your recovery and any necessary adjustments that we receive from the occupational health and safety service or company doctor. We retain this data for up to 7 years after you leave the company.
  • In order to pay your salary, we process your contact and bank details. We are required by tax legislation to retain this information for a period of 7 years.
  • If you are eligible for a bonus scheme under your contract, we will process your personal data in order to pay you. We apply a statutory retention period of 7 years following the end of your employment.
  • To process your business expense claims, we need your contact and bank details, as well as supporting documents for your claim. We are required by law to retain these records for seven years after the end of your employment.
  • If your wages are garnished, we are required by law to share your personal data with bailiffs and creditors. We will retain this data until the garnishment order is lifted.

Career development and appraisal

  • To monitor your development and performance within our organisation, we will create a personnel file. Any tests and assessments you have completed will form part of this file. We will retain this personnel file for up to two years after you leave the company, or for as long as it remains relevant to your current performance.

Services

  • If the assignment requires us to hold (official) documents, such as a Certificate of Good Conduct (VOG), we will assist you with the administrative process. To do so, we need to process your personal data. We apply a statutory retention period of 5 years.
  • In order to account for our invoices to our clients and to meet our contractual obligations, we keep records of hours worked. We use your personal data for this purpose. We adhere to a statutory retention period of 7 years.
  • We use analyses and reports to continuously improve our services. We report on this to our clients. We avoid using personal data as much as possible. On occasion, we are obliged to use a limited amount of data. Where possible, we aggregate the data and anonymise it so that you cannot be identified. These reports are retained for a period of 5 years.
  • We carry out surveys and questionnaires to gauge how customers experience and use our services. We use personal data to continuously improve our products and services.

General

  • We use various IT tools, such as email, to communicate with each other and with you. We keep a record of these communications for as long as they are relevant for follow-up, accountability and security purposes. In doing so, we use (cloud) service providers located outside the European Economic Area. For example, your name, contact details and job title will be shared. This may also include any photo you have uploaded.
  • To help us learn and make improvements, we ask you to complete internal surveys. We may also ask you to provide your name and contact details so that we can follow up on the results and, if necessary, keep you informed.
  • We store relevant data for our financial records and for the verification and approval of invoices. We retain this data for seven years in accordance with legal requirements.
  • We process relevant data relating to clients, employees and candidates for the purpose of carrying out internal checks, such as audits. The retention period is five years from the date the audit report is delivered.

Security and protection

  • For security reasons, we use access passes at a number of locations. We retain log data for the maximum period permitted by law, which is six months.
  • To ensure the safety of our staff, our customers and our property, we have installed CCTV cameras in our buildings. These cameras are clearly visible and we will draw your attention to them upon entry.
  • We use security measures to manage and protect our systems. For example, you will be given a username to identify yourself on our systems. We store usage data in log files for a maximum of 6 months. We retain records of changes made to financially relevant systems for 7 years.
  • The use of personal data may be necessary for legal purposes. In relation to legal cases, it is important to be able to continue to use and retain relevant personal data where appropriate.
  • For certain types of data processing, we will ask for your consent in advance. If you do not give your consent and/or object to this processing, this may affect the services we provide to you.
  • When handling claims, it is necessary to use and retain the relevant personal data for as long as it is relevant to the case. We may also use personal data for other legal purposes.

Voor bepaalde verwerkingen vragen we vooraf jouw toestemming. Mocht je geen toestemming geven en/of bezwaar maken tegen deze verwerking, dan kan dit gevolgen hebben voor de dienstverlening die wij aan jou leveren.

Automated decision-making

We do not use processes involving fully automated decision-making (including profiling).

Consent

Have you given your (explicit) consent for us to process your data? If so, you have the right to withdraw this consent at any time. Please note: if you withdraw your consent, any data processing we have carried out previously with your consent remains lawful.

What are your rights?

You have the right to

  • to find out what personal data we hold about you;
  • to have your personal data amended or deleted;
  • to request a restriction on the processing of your personal data;
  • to ask us to transfer your personal data to another party;
  • bezwaar te maken. Indien je bezwaar maakt tegen een verwerking van jouw persoonsgegevens die wij noodzakelijk achten om onze belangen te behartigen kan dit gevolgen hebben voor de wijze waarop wij onze dienstverlening uitvoeren;
  • to object to the processing of your personal data for direct marketing purposes;
  • niet onderworpen te worden aan een besluit gebaseerd op enkel geautomatiseerde verwerking (waaronder profilering) waaraan voor jou rechtsgevolgen zijn verbonden of grote impact op jou heeft;
  • to lodge a complaint with the Data Protection Authority (or another supervisory authority) regarding the way in which we handle your personal data.

You have the right to

If you wish to amend or delete your personal data – which you cannot do yourself – or if you wish to exercise any other data protection right, please complete this form. We will process your request as soon as possible and no later than 30 days after receiving it.
